AI-powered financial security platform is looking for an Executive Assistant to support their CEO and CTO. With explosive growth from 60 to 200 employees last year and plans to reach 280 by EOY, this is an exciting opportunity to join a fast-scaling company and be the right hand to two experienced Founders. In this role, you'll provide dedicated support to the CEO and CTO, managing their complex calendars across multiple time zones with constant changes and competing priorities, handling meeting prep and support by pulling briefing materials, attending meetings to take notes and capture action items, and keeping both executives up to speed on what needs to be done. You'll oversee complex travel itineraries and take the lead on planning company-wide events, working cross-functionally with other leaders. Someone who is exceptionally detail-oriented, has strong follow-through, and will anticipate needs and work well autonomously. This is a fully remote role, must be okay working early West Coast hours. There will be annual travel for company events. 160-170K+ DOE + equity, benefits, 401k, and unlimited PTO.

Responsibilities:
  • Provide dedicated executive support to the CEO and CTO, acting as a trusted right-hand partner.
  • Manage complex calendars across multiple time zones, including prioritizing meetings, coordinating internal and external schedules, and proactively resolving conflicts.
  • Prepare executives for meetings by gathering briefing materials, attending meetings as needed, capturing notes, preparing agendas, and tracking action items through completion.
  • Coordinate logistics for leadership, board, and investor meetings, ensuring attendees have all details. 
  • Serve as a primary point of contact for stakeholders and the CEO. Assist with drafting and reviewing communications as needed. 
  • Cross-functional project management to drive accountability to keep Executives informed, ensure action items are tracked, and deadlines are met.
  • Coordinate domestic and international travel and manage related logistics. Create detailed itineraries, travel briefs, and optimize time when traveling. 
  • Plan and manage company-wide events, handling end-to-end logistics. 
  • Process and reconcile expenses.
Qualifications:
  • Previous 5+ years of experience as an Executive Assistant supporting senior leadership in a fast-paced, high-growth environment. 
  • Strong written and verbal communication skills, with a personable and professional presence when working with internal teams and external stakeholders.
  • Dependable and reliable, with a strong sense of ownership and accountability.
  • Highly detail-oriented, organized, quick, and responsive, with the ability to move fast and juggle multiple priorities effectively.
  • Polished and presentation-minded, comfortable supporting leaders who engage regularly with customers, partners, and investors.
  • A proactive, forward-thinking partner who anticipates needs, recognizes patterns, and plans ahead rather than reacting.
  • Ability to act with autonomy, confidently making decisions, solving problems, and executing without requiring constant direction.
  • Tech-savvy, including Slack, Notion, Google Workspace, Glean, Rippling, and Ramp.
