The Administrative Assistant ensures the consistent application of Liberty University’s policies and procedures while fostering a customer-service-oriented environment within the business unit. This individual provides essential administrative and operational support to the leadership of Information Services (“I.S.”), assisting with daily operations to ensure smooth functioning and efficient service delivery.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Tier 1
- Demonstrate understanding of documenting, organizing, and maintaining office operations, procedures, including assisting departmental staff with proper record retention and document management.
- Attend meetings, deliver status updates, and take detailed meeting notes.
- Perform administrative tasks, audits, and follow-ups as needed, while maintaining availability in the office during regular business hours (Monday through Friday) to support leadership and employees.
- Demonstrate understanding of assisting I.S. departments with onboarding, transfers, and offboarding processes.
- Demonstrate understanding of planning and executing department events, including “You Matter” (employee appreciation) initiatives.
- Demonstrate understanding of serving as the primary point of contact for all I.S. conference rooms and shared office spaces, providing support and answering employee inquiries.
- Demonstrate understanding of maintaining inventory of office supplies and other departmental assets.
- Demonstrate understanding of assisting with the planning and coordination of staff travel arrangements for conferences, training, and other professional events, as assigned.
- Demonstrate understanding of compiling and delivering requested reports for the I.S. Budget and/or Director(s).
- Strictly adheres to Liberty University policies, representing the University in an exemplary manner.
- Works effectively as a team member, embracing and fostering LU’s Christian model and Mission – Training Champions for Christ.

QUALIFICATIONS AND CREDENTIALS
Education and Experience
Tier 1
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong written, organizational, and communication skills, with keen attention to detail.
- Prior work experience in higher education or management roles is preferred.
- An associate’s degree or equivalent from a college or technical school is preferred.

Work Environment
The working environment in which one will typically perform the essential functions of this position is a climate-controlled setting. It is well-lit, and the noise level is moderate. The working environment may include the facilitation of events outdoors occasionally.
Driving Requirements
If the employee is required to travel in performing the duties and responsibilities of the position, the use of one’s personal vehicle (or LU vehicles) may be required for travel. Proof of a valid driver’s license, an acceptable DMV record, LU Driving Approval, and liability insurance is required when driving in the performance of the employee’s position.
