Position Summary:
We are seeking a reliable, organized, and self-motivated Administrative Assistant to join our growing team. This position is essential in supporting clear and efficient communication between clients and internal departments. The ideal candidate is proactive, detail-oriented, and possesses strong communication skills.
In this role, you will manage daily administrative operations, respond to client inquiries, and help coordinate activities across teams to ensure smooth workflows. You will also contribute to improving internal processes and provide support to leadership as needed. Success in this position requires strong organizational abilities, the capacity to manage multiple priorities, and a solutions-oriented mindset. The ideal candidate is comfortable working in a fast-paced environment and can effectively prioritize tasks to meet deadlines.
Key Responsibilities:
- Serve as the first point of contact for clients via phone and email during business hours to answer and respond to all incoming phone calls, voicemails, and emails promptly and professionally
- Create and send daily summaries of all client communications to relevant team members
- Maintain a positive and friendly demeanor when assisting clients and colleagues
- Collaborate with team members to ensure a smooth flow of information and to support continuous improvement in client communication processes
- Coordinate new client intakes, including distributing and collecting required information, documentation, and sending follow up forms
- Support clinical scheduling services including scheduling intakes, consultations, and follow-up appointments for Verge providers as needed
- Maintain accurate and confidential client records in compliance with HIPAA regulations
- Support general office operations including supply ordering, deliveries, property management support, and mailing confidential documents as needed
- Respond appropriately and professionally to sensitive client situations, following established protocols
- Maintaining records of provider malpractice insurance
- Support provider credentialing
- Create and distribute internal and external communication and promotional materials
Qualifications
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred
- Previous administrative or front-desk experience (healthcare or mental health setting a plus)
- Strong organizational and multitasking skills with high attention to detail
- Excellent written and verbal communication skills
- Ability to handle confidential information with discretion
- Proficiency with office software and scheduling systems
- Comfortable working in a fast-paced, client-centered environment
Preferred Skills
- Familiarity with medical billing or insurance processes
- Experience using electronic health record (EHR) systems
- Strong interpersonal skills with a calm, empathetic approach
