Your Role:  The Sales Support Specialist provides operational support to the sales team, working closely with the Global Accounts Director. This role is responsible for maintaining momentum across active opportunities by managing client communications, tracking pipeline activity, and ensuring internal systems and workflows remain accurate and up to date. 

This is a non-selling role, focused on supporting the sales process through organization, proposal development, and execution. The Sales Support Specialist plays a critical role in advancing opportunities, preparing client-facing materials, and ensuring smooth, well-documented handoffs to the project team.


This is a part-time, remote position with an anticipated workload of 20–25 hours per week. Work hours may vary based on business needs, client meetings, and project timelines. Candidates must reside in North Carolina, Ohio, or Texas.

 

Essential Functions:

  • Support active client opportunities by managing communications, tracking pipeline activity, and ensuring consistent follow-up
  • Draft and send follow-up communications based on client conversations, proposals, and next steps
  • Coordinate meeting scheduling and manage calendars with clients and internal stakeholders
  • Maintain CRM accuracy and ensure all pipeline activity, client notes, and next steps are properly documented 
  • Track proposals, client responses, contract terms, renewals and sponsorship timelines
  • Assist with building, formatting, and updating client proposals, scopes of work, and quotes using PandaDoc
  • Prepare and transition finalized scope details into project management tools (e.g., Monday.com), including creation of structured project boards
  • Coordinate internal scope alignment prior to contract execution to ensure seamless transition from sales to project management teams
  • Build targeted outreach lists and support identification of new opportunities (trade shows and PR activity)



Additional Functions: 

  • Maintain standardized proposal templates and ensure consistency across client-facing materials
  • Support organization and upkeep of CRM, PandaDoc and internal workflows as needed
  • Support small client-related tasks, internal initiatives, and marketing efforts as needed
  • Performs other job duties as assigned.


Minimum Qualifications:

  • 1-3 years of professional experience in B2B (business-to-business) sales support, sales coordination, or inside sales 
  • Experience working in a CRM-driven environment
  • Strong organizational skills with the ability to manage multiple priorities
  • Excellent written and verbal communication skills


Preferred Qualifications:

  • Bachelor’s degree in a related field
  • 4+ years of professional experience in B2B (business-to-business) sales support, sales coordination, or inside sales 
  • Experience with the software tools used in this role, including PandaDoc and Monday.com


Physical Demands:

  • Employees must be able to spend extended periods of time operating a computer to complete job responsibilities
