Requirements

OVERVIEW

The Project Coordinator provides operational, administrative, and scheduling support for Due Diligence (DD) and Building Engineering Services (BES) projects. This role supports Client Managers, Practice Leaders, Business Development, technical teams, and subcontractors by coordinating project setup, staffing, document control, and deliverables across multiple concurrent engagements. The Project Coordinator plays a key role in ensuring projects are properly resourced, tracked, and delivered on schedule.

The Salary Range for this position is $48,400 - $72,600 and is dependent on education, experience, location and certifications/licensure.

DUTIES AND RESPONSIBILITIES

Project Setup & Coordination

  • Support Client Managers & Practice Leaders with project setup and coordination.
  • Coordinate internal staffing and if necessary subcontractor resources
  • Manage subcontractor pricing, availability, and work orders.
  • Attend weekly team meetings to provide project and scheduling updates.
  • Communicate project changes and schedule updates.

Scheduling & Capacity Management

  • Identify & schedule resources for each project scope.
  • Track assignments using scheduling tools.
  • Provide weekly staffing and capacity reports.
  • Escalate scheduling or capacity conflicts as needed.

Project Documentation & Deliverables

  • Create and maintain SharePoint folders for all confirmed projects.
  • Receive and distribute due diligence documents from clients.
  • Track completed reports and post final deliverables.

Subcontractor & Vendor Coordination

  • Serve as point of contact for subcontractors regarding schedules and deliverables.
  • Order third-party reports including zoning, energy, termite, and environmental reports.
  • Conduct basic property research to support DD projects.

Administrative & Financial Support

  • Verify subcontractor and vendor invoices against completed work.
  • Forward invoices to accounting for billing.
  • Distribute project documents to staff and subcontractors.
  • Perform other administrative duties as assigned.

REQUIRED SKILLS AND ABILITIES

  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Ability to work independently with minimal supervision.
  • High attention to detail.
  • Proficiency in Microsoft 365 tools including Outlook, Excel, SharePoint, and Teams.

REQUIRED EXPERIENCE AND EDUCATION

  • Associate’s or Bachelor’s degree in Business, Construction Management, Engineering, Real Estate, or related field.
  • 2–5 years of experience in project coordination, administrative support, or professional services preferred.

PHYSICAL DEMANDS, OVERTIME, AND TRAVEL

Physical Demands – Work is performed primarily in an office setting. Employee is frequently required to stand, walk, sit, climb, bend, balance, stoop, kneel, crouch, talk, and hear. Employee may lift and/or move up to 25 pounds. Clear vision and depth perception are also necessary.

Overtime – This position is classified as salaried with an exempt FLSA status. Regular working hours are 8:00 a.m. to 5:00 p.m., Monday through Friday, with one hour for lunch.  There will be periods where overtime will be required, which the employee will need to comply with in order to meet the demands of the position.  

Travel: Limited; primarily office-based
