Seeking a detail-oriented Data Entry Specialist to support the transfer of client information from one electronic health record (EHR) system to another.  This position will be responsible for accurately entering, reviewing, and validating client data while maintaining strict confidentiality and following established workflows and quality standards.  The ideal candidate is highly organized, comfortable working with computer systems, and able to complete repetitive data-entry tasks with speed and accuracy.


  • Pay: $15.00 per hour
  • Schedule: Flexible, up to 20 hours/week
  • Position is classified as non-exempt and does not qualify for benefits.


Key Responsibilities

  • Transfer client demographic, contact, insurance, medical, scheduling, and other approved information from the existing EHR into the new system.
  • Review source records for completeness and accurately enter information into designated fields.
  • Compare migrated data against the original record to identify and correct discrepancies.
  • Follow standardized data-entry procedures, naming conventions, and documentation requirements.
  • Identify missing, inconsistent, or duplicate information and escalate issues appropriately.
  • Maintain accurate records of completed, pending, and reviewed client files.
  • Perform quality-control checks and meet established accuracy and productivity expectations.
  • Protect confidential client and organizational information in accordance with applicable policies and regulations.
  • Communicate questions, system issues, or data concerns to the project lead or supervisor.
  • Assist with other administrative and data-management tasks as assigned.

Qualifications

  • High school diploma or equivalent required.
  • Previous experience in data entry, medical records, healthcare administration, or EHR systems preferred.
  • Strong attention to detail and commitment to data accuracy.
  • Proficiency with computers, keyboards, Microsoft Office, and web-based applications.
  • Ability to learn and navigate multiple software systems.
  • Excellent organizational and time-management skills.
  • Ability to work independently while meeting deadlines.
  • Strong written and verbal communication skills.
  • Ability to handle confidential information professionally.
  • Familiarity with HIPAA and healthcare privacy requirements preferred.

  • Complete assigned records within established project timelines.
  • Consistently follow privacy, security, and quality-control procedures.
  • Promptly report data discrepancies, duplicate records, or technical problems.

Physical and Work Requirements

  • Ability to sit and work at a computer for extended periods.
  • Ability to perform repetitive keyboarding and data-entry tasks.
  • Ability to maintain focus and accuracy in a deadline-driven environment.
