Duties
We are seeking a
Vendor Privacy Operations Coordinator for a focused 7-month contract supporting a defined DSR vendor-control project. This is a hands-on execution role, not a senior privacy strategy or GRC program management role. The coordinator will work through a large backlog of vendors, identify the right internal or external points of contact, send outreach, follow up persistently, collect three required DSR-related data points, and organize the information for engineering teams to action. The ideal candidate is highly organized, comfortable with repetitive high-volume follow-up, and able to maintain accuracy and momentum across hundreds of parallel vendor records.
Responsibilities
- Work through a defined backlog of approximately 1,000 vendors at a target velocity of about 40 vendors per week (roughly one hour of production time per vendor)
- For each vendor, identify the right point of contact and collect three specific pieces of information: the email address where DSR requests should be sent, the lookup table showing which users have been sent to that vendor, and the unique identifier used for processing requests in the vendor's system
- Reach out to internal points of contact (potentially hundreds across the company) and, where needed, directly to vendors to gather the required information
- Set up meetings, send communications, and persistently follow up to obtain required data on schedule
- Compile and organize the collected information into a clean handoff for engineering, who will perform the technical validation of tables and unique identifiers
- Track progress and report status week over week to the privacy operations lead and broader stakeholders
- Proactively identify optimization opportunities (e.g., process improvements, alternative outreach approaches) and surface them to the project lead
- Partner cross-functionally with Privacy, Legal, Security, Engineering, and vendor-relationship owners to keep the work moving
Skills
Your Expertise:
- 2 to 5 years of experience in project management, program coordination, or a similar role; this is a mid-level position and is not designed for senior or strategic profiles
- Strong project coordination and organizational skills, with the ability to manage a high volume of vendor contacts and parallel workstreams
- Outstanding written and verbal communication; comfortable with outbound communication, including email, calls, and persistent follow-up
- Proactive mindset: able to identify optimization opportunities and propose alternative solutions when blockers arise
- Detail-oriented, highly organized, and comfortable with regimented, repetitive work
- Able to operate independently and drive work forward in an evolving environment
- Comfort working with engineering teams and translating requirements into actionable backlog items
- Proficiency with JIRA and Asana (similar ticketing or project management tools are acceptable)
- Google Suite proficiency for presentations and progress reporting
Preferred Background:
- Baseline knowledge of GDPR, CCPA, and Data Subject Rights (DSR) requests, sufficient to explain the why behind the work when faced with vendor pushback
- Vendor management experience, with an understanding of how large companies structure and manage vendor relationships
- Privacy Impact Assessment (PIA) experience is relevant though not the primary focus
- Healthcare or financial services (PFSI) backgrounds are acceptable; privacy work is industry-agnostic, so other regulated-industry experience is welcome
- Prior experience on similar retroactive vendor / DSR projects at other large organizations is a strong plus
