The best operators don’t just keep businesses running - they shape how they grow.
At Oxeon, the Search Operations Manager sits at the center of the business, helping guide how we scale our search practice, deploy talent, prioritize opportunities, and support firm-wide growth. It’s a role for someone who loves solving complex operational challenges, influencing senior stakeholders, and bringing structure and clarity to fast-moving environments.
The Search Operations Manager serves as the central strategic driver and operational anchor for Oxeon's search practice. This is a high-impact individual contributor role responsible for the end-to-end operational lifecycle of our business. You will function as a vital strategic advisor to firm leadership, ensuring that firm-wide resources—talent, capacity, and profitability—are optimized to drive organizational growth. This role is essential for transforming complex operational data into actionable insights, serving as a critical partner to the Head of Search Operations, the Executive Leadership Team, and the Finance and People teams.
We recognize that excellent operations leaders come from diverse professional backgrounds. We are specifically seeking candidates who map to one of the following profiles:
Chief of Staff Profile: 3–5 years of experience in a Chief of Staff, Business Operations, or cross-functional execution role within a high-growth, fast-paced environment (such as a venture studio, healthcare startup, or scaling enterprise).
Professional Services Profile: 5–7 years of experience steering staffing, resource allocation, revenue operations, or project management within a highly consultative, fast-paced client services environment (e.g., Management Consulting, Law, Executive Search, or Creative Agencies).
Education: Bachelor’s Degree required.
Leading Through Influence: Proven ability to drive alignment, draw clear lines in the sand, and influence senior partners without relying on formal hierarchical authority.
Kind Firmness & High EQ: Exceptional emotional intelligence, situational awareness, and organizational empathy. Ability to establish clear professional boundaries and diplomatically navigate sensitive staffing and performance conversations.
Nuanced Communication: Masterful at translating complex pipeline data into clear, persuasive executive narratives, and comfortable providing data-backed counsel and constructive pushback to executive-level leaders.
Thriving in Ambiguity: Operates with an entrepreneurial mindset, balancing immediate, fast-paced commercial demands ("fire drills") with the deliberate focus required to build long-term scalable processes.
Commitment to Growth: We are seeking an individual looking to plant deep roots in this role and make a commitment to optimizing Oxeon's operational backbone.
At Oxeon, we are:
Healthcare-focused and industry-centric: We work exclusively in healthcare, connecting leaders who shape the future of health delivery, technology, life sciences, and value-based care.
Relationship-driven and strategic: Our approach combines data, deep networks, and consultative thought partnership to build leadership teams that truly move the needle.
Entrepreneurial and aligned: Every employee receives equity in Oxeon investments from day one, so your success is directly tied to the growth and impact you help create.
High-growth and collaborative: We embrace autonomy, mentorship, and cross-functional teamwork, offering extensive exposure to executive leadership and firm strategy.
We hold ourselves to six core values: Intellectual Curiosity, Emotional Intelligence, Ownership, Resilience, Collaboration, and Spirit of Generosity.
A flexible, hybrid work model: We operate on a hybrid schedule across our New York, Nashville, and Seattle offices, augmented by designated "work from anywhere" days for extended remote flexibility.
Quality time together: Bi-weekly all-hands meetings, annual offsites, and culture events designed to foster continuous learning and deepen relationships.
Comprehensive compensation and benefits: 100% employer-paid medical and dental insurance for you and your family, competitive base pay with bonus potential, paid parental leave, 401(k), and a vibrant open-office environment.
Opportunity to give back: Volunteer opportunities and a generous annual philanthropic match program.
As the Search Operations Manager, you will directly own the operational backbone of our firm across these critical pillars:
Pipeline & Retainer Stewardship: Manage the top-of-funnel Business Development (BD) sales pipeline in our CRM (Recruiterflow). Review contract terms, draft new client retainers, and advise partners on fee structures to ensure data accuracy and profitability.
Centralized Search Staffing: Serve as the central authority for project resource allocation. Holistically evaluate team capacity, individual performance metrics, and partner dynamics to efficiently staff 56–60 active concurrent searches.
Strategic Trade-offs & Communication: Navigate fast-paced, high-stakes communication with senior stakeholders. Balance immediate commercial demands with long-term capacity management, utilizing "kind firmness" to prevent team burnout.
Search Health Analysis: Monitor the velocity and performance patterns of our ~210 annual searches. Proactively identify at-risk projects before they deviate from timelines and use data to spot macroeconomic or sector-specific trends (e.g., VC vs. PE speed).
Process Architecture & Tech: Act as a dedicated system-builder. Design, scale, and drive the firm-wide adoption of repeatable operational workflows and emerging AI tools to reduce structural friction.
Quality Assurance: Lead Oxeon’s post-search quality review and Net Promoter Score (NPS) processes, transforming client feedback into continuous operational improvements.
