Payroll Specialist (Remote)
Position Summary
We are seeking an experienced Payroll Specialist to join our Human Resources team. This role is responsible for the accurate and timely processing of multiple payrolls while ensuring compliance with federal, state, and local payroll regulations.
The ideal candidate has 5–10 years of full-cycle payroll experience, enjoys improving processes, has exceptional attention to detail, and takes ownership of delivering an outstanding payroll experience for employees.
This position works closely with Human Resources, Accounting, Operations, and Recruiting to support a growing, fully remote staffing organization.
Essential Responsibilities
Payroll Processing
Process multiple weekly and biweekly payrolls from start to finish
Review and validate payroll data for accuracy and completeness
Administer direct deposits, garnishments, tax withholding changes, and other payroll transactions
Process off-cycle payrolls and payroll corrections as needed
Coordinate final pay processing in accordance with state requirements
Payroll Administration & Compliance
Maintain employee payroll records and ensure data integrity
Ensure compliance with federal, state, and local payroll regulations
Assist with payroll tax notices, registrations, and compliance requirements
Support year-end payroll activities, including W-2 processing
Maintain payroll documentation and audit records
Assist with payroll reconciliations and reporting
Process Improvement
Identify opportunities to improve payroll processes and increase efficiency
Assist with developing and maintaining payroll procedures and documentation
Participate in payroll audits and quality control reviews
Help standardize payroll practices across multiple payrolls
Employee Support
Research and resolve payroll discrepancies
Partner with HR and Operations to ensure payroll information is accurate and complete
Provide exceptional internal customer service
HRIS & Reporting
Maintain payroll-related employee information within the HRIS
Generate payroll reports and assist with workforce reporting
Support HR and Finance with payroll-related reporting requests
Qualifications
5–10 years of full-cycle payroll processing experience
Experience processing multiple payrolls simultaneously
Multi-state payroll experience
Strong understanding of payroll laws, wage and hour regulations, and payroll tax requirements
Experience using payroll and HRIS systems (ADP experience strongly preferred)
Intermediate to advanced Microsoft Excel skills
Excellent analytical and problem-solving abilities
Exceptional attention to detail and accuracy
Strong organizational and time management skills
Ability to manage competing deadlines in a fast-paced environment
Excellent written and verbal communication skills
Ability to work independently in a fully remote environment
Preferred
Certified Payroll Professional (CPP)
Fundamental Payroll Certification (FPC)
Formal payroll coursework or certification through PayrollOrg (formerly the American Payroll Association)
Experience in staffing, recruiting, manufacturing, logistics, healthcare staffing, or other high-volume payroll environments
