Position Title: Payroll & Benefits Administrator (Full Time / Non-Exempt / Remote)
Who’ll You Report To: Sr. HR Business Partner
Who We’re Looking For:
- You are first and foremost a payroll professional- someone who understands the mechanics, compliance obligations, and precision that multi-state payroll demands.
- You are strong in finance: journal entries, reconciliations, and workforce cost reporting are second nature to you.
- You have either supported HR functions (benefits administration, employee records, offboarding) or are genuinely excited to expand in that direction.
- You are not an HR generalist looking to pick up payroll; this role is owned by a finance-minded individual who leads with payroll expertise.
What a Typical Week Looks Like:
- You own payroll end-to-end for all U.S. employees across multiple states running cycles on time, catching errors before they hit employee paychecks, and fielding questions with a calm, informed answer.
- You coordinate with our Employer of Record (EOR) to ensure payroll is processed accurately and on schedule.
- You handle benefits administration: enrollments, qualifying life events, premium reconciliations, and vendor communications without waiting to be asked.
- You respond to employee inquiries about pay, deductions, and benefits accurately, promptly, and with discretion.
- You field new hire onboarding setup in the HRIS - creating records, assigning pay groups, confirming benefit enrollments - and partner with HR to make sure nothing falls through the gap between offer acceptance and first paycheck.
- You pull headcount and workforce cost reports that HR and Finance use for planning, and you take the initiative to understand what stakeholders actually need rather than just running what has always been run.
- When HR needs support on a people-related project or initiative, you are a reliable partner; You understand the data, know the systems, and can contribute meaningfully without needing to be brought up to speed.
- You are comfortable stepping into HR-adjacent work as the role evolves, bringing your financial and systems knowledge to support broader people operations when needed.
What You’ll Own in One Year:
- Payroll Accuracy – Zero material payroll errors in U.S. multi-state processing; all cycles closed on time with documented reconciliations.
- Finance Partnership – Payroll journal entries posted each cycle with no rework; monthly reconciliation reviewed and signed off by Finance.
- Benefits Administration – Open enrollment executed smoothly; all qualifying events processed within required windows; zero lapses in coverage.
- Compliance – W-2s, ACA filings, and quarterly tax documents submitted accurately and on time; workers’ comp filings current.
- Reporting – Headcount, overtime, PTO, and workforce cost reports delivered to stakeholders on schedule with no data quality issues.
- Employee Experience – Payroll and benefits inquiries resolved within 24 hours with accurate, professional responses.
What your Background Looks Like:
Required Experience:
- 2–4 years of hands-on, end-to-end U.S. multi-state payroll processing - not oversight, not coordination, not approval workflows. You ran the payroll.
- Demonstrated knowledge of U.S. federal and multi-state payroll tax regulations: withholding, wage and hour laws, state-specific requirements.
- Experience preparing payroll journal entries and reconciling payroll to general ledger accounts.
- Advanced Excel: you build reconciliations, use VLOOKUP/INDEX-MATCH, pivot tables, and can clean messy data without asking for help.
- Track record of meeting strict, non-negotiable deadlines in a self-directed environment.
Strongly Preferred:
- Experience administering employee benefits (health insurance, 401(k), qualifying life events, open enrollment).
- Experience supporting payroll for international employees through an Employer of Record (EOR) specifically Canada and India.
- Familiarity with UKG or BambooHR HRIS/payroll systems.
- Post-secondary education in Accounting, Payroll, Finance, or a related field.

What We Offer
Base salary: $60,000 - $70,000. Actual compensation offered may vary depending upon many factors, including a candidate’s skills, qualifications, experience, and location.
