Job Summary

Artemis ARC is seeking an Administrative Assistant to provide comprehensive operational and administrative support to the Veterans Health Administration (VHA) Office of Healthcare Technology Management (HTM). This role is critical to ensuring the smooth day-to-day functioning of program activities, supporting leadership and staff in coordinating meetings, managing communications, and maintaining organized documentation. The Administrative Assistant will interact with a wide range of stakeholders, including program leadership, clinicians, technical teams, and government personnel, and will play a key role in supporting a fast-paced, mission-driven environment focused on improving access to care for Veterans.

 

Primary Responsibilities

Key responsibilities include scheduling and coordinating meetings, preparing agendas and meeting materials, and documenting notes and action items. The Administrative Assistant will manage correspondence, maintain program documentation and files, and support reporting and tracking activities. Additional duties include coordinating travel and event logistics, supporting onboarding and administrative processes, and assisting with the preparation of briefings, reports, and other program deliverables. The role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while supporting team efficiency and effective communication across the program.

Minimum Qualifications

  • High school diploma or equivalent required; associate’s or bachelor’s degree in Business Administration, Communications, or a related field preferred
  • 4+ years of administrative or operational support experience, preferably in a federal or healthcare environment
  • Demonstrated experience supporting program teams, leadership, or executives in a fast-paced, professional setting
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines
  • Experience scheduling and coordinating meetings, including managing calendars and logistics for multiple stakeholders
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools such as Microsoft Teams and SharePoint
  • Experience preparing meeting materials, taking detailed notes, and tracking action items
  • Strong written and verbal communication skills, with attention to detail and accuracy
  • Ability to handle sensitive information with discretion and maintain confidentiality
  • Experience managing documents, files, and records in an organized and accessible manner
  • Ability to work independently as well as collaboratively within a team environment
  • Experience supporting travel coordination, event logistics, or onboarding activities (preferred)
  • Ability to obtain and maintain a Public Trust clearance (or active clearance preferred)

Desired Qualifications

  • Prior experience supporting the VA or similar federal healthcare agencies, particularly in telehealth, digital health, or Healthcare Technology Management (HTM) environments
  • Experience supporting large, complex, multi-contractor programs or enterprise-level initiatives with geographically dispersed teams
  • Demonstrated ability to proactively support senior leadership, anticipate needs, and operate with minimal direction in high-visibility environments
  • Experience contributing to process improvements, workflow optimization, or administrative best practices that enhance team efficiency
  • Proficiency with collaboration and program tracking tools (e.g., SharePoint administration, Teams, dashboards, action trackers) beyond basic use
  • Experience supporting high-visibility meetings or events, including executive-level coordination or large-scale workshops, along with familiarity with federal administrative processes (e.g., travel systems like Concur)
